About the job:

The Receptionist/Office Assistant serves as the first point of contact for the organization while supporting daily office and facility operations. This role ensures a welcoming front desk experience and smooth coordination across departments.

We’re looking for someone who:
  • Has 2+ years of experience in a receptionist or front desk role
  • Has prior switchboard experience and is comfortable managing a high volume of calls
  • Communicates clearly and professionally, both verbally and in writing
  • Is highly detail-oriented, organized, and dependable
  • Demonstrates strong multitasking and time management skills
  • Is proficient with Microsoft Office, including Word and Excel, and has filing experience
  • Learns new systems and procedures quickly
  • Works professionally and collaboratively with employees across departments
  • Maintains punctuality and reliable attendance
What you’ll do:
  • Greet, sign in, and assist visitors and temporary employees
  • Maintain front desk professionalism, conference rooms, and common areas
  • Manage outgoing mail, postage machine, and related funds
  • Order and track business cards, name badges, rep bags, and office supplies
  • Maintain inventory spreadsheets and administrative records
  • Support onboarding by setting up new employee work areas
  • Maintain break rooms, executive kitchen, restrooms, coffee stations, vending machines, and water coolers
  • Coordinate bi-monthly lunches and assist with HR events
  • Operate and manage copiers and copy work areas
  • Monitor reserved parking spaces and facility needs
  • Work with accounting to ensure credit card receipts are documented
  • Ensure first aid kits are stocked and facility standards are met
  • Provide general administrative and project support to departments as needed
