About the job:

The Senior Administrative Associate provides high-level administrative and operational support to faculty and department leadership while helping ensure the smooth day-to-day operation of the department.

We’re looking for someone who:
  • Has a high school diploma or GED (minimum required); an associate degree or higher is preferred
  • Has at least 3 years of relevant administrative experience
  • Demonstrates excellent organizational, time management, and multitasking skills
  • Communicates clearly and professionally with a variety of internal and external stakeholders
  • Is proficient in Microsoft Office and other office software applications
  • Is proactive, resourceful, and able to work independently with minimal supervision
  • Adapts quickly to changing priorities and manages multiple responsibilities effectively
  • Has experience coordinating calendars, meetings, travel, and events
  • Has experience processing administrative or financial transactions
  • Has experience maintaining websites or supporting HR processes (preferred)
  • Has experience training or guiding support staff or student workers (preferred)
What you’ll do:
  • Respond to inquiries and provide guidance on department policies and procedures
  • Coordinate meetings, conferences, seminars, and special events from planning through execution
  • Manage complex calendars, resolve scheduling conflicts, and coordinate business travel
  • Prepare, format, and distribute presentations, reports, grant materials, and other departmental communications
  • Process and monitor financial transactions while resolving routine discrepancies
  • Maintain office supplies, equipment, and coordinate vendor services and office moves
  • Serve as a point of contact for office maintenance, safety, and facility-related concerns
  • Update and maintain approved department website content
  • Provide administrative support for HR activities such as timecards, I-9 documentation, and faculty affairs as needed
  • Guide, schedule, and support student or contingent workers while monitoring work quality and deadlines
  • Support daily departmental operations and perform other administrative duties as assigned
